Every unsigned roofing estimate, followed up on day 1, 3, 7 and 14

Pulled from AccuLynx or JobNimbus, so it knows who hasn't signed. It stops the second they reply.

The math

Say you put out 35 estimates a month and close about a third. That's about 23 a month that don't sign. Call it 276 a year.

Some of those were never buying. A lot of them just got busy, and nobody called back.

So the question isn't whether follow-up works. It's how many of those 276 would have to come back to pay for the build. At a $12,000 average job and a 35% margin, it's about three. Put your own numbers into the calculator on the pricing page and see what you get. It's arithmetic. Nobody's promising any of them come back.

What the follow-ups say

Four messages, written in your voice, with your name at the bottom. Email by default, a text only where the homeowner agreed to texts. Every one ends with a way to reach a real person.

Day 1 · email

Subject: Your roof estimate

Hi Dana, thanks for having Mike out yesterday. Your estimate's attached again in case it got buried. If anything in it doesn't make sense, just reply here and Mike will call you.

Day 3 and day 7

Day 3 answers the question most homeowners sit on: how long the job takes and what happens on install day. Day 7 is a short check-in asking if the estimate's still on their list, with a reply-to-talk line.

Day 14 · email

Subject: Still on your list?

Hi Dana, I don't want to keep filling your inbox. Are you still looking at getting the roof done? A yes or a no is plenty. If the timing's off, tell me when to check back and I will.

Rules it follows

  • It stops the moment someone replies, or the job's marked won or lost in your CRM.
  • It never offers a discount unless you tell it to.
  • No insurance wording. Nothing about deductibles or what a claim will pay.
  • Replies go to you or your rep, by email and an alert. Never into a black hole.

It asks. It doesn't haggle.

Questions about this part

Will my reps hate this?

It stays out of their way. The second a homeowner replies, or a rep marks the job won or lost, the sequence stops. It only does the follow-up they meant to do and didn't get to.

Email or text?

Email by default. Texts go only to homeowners who agreed to texts, and only after the carriers approve your business texting.

What if I don't use AccuLynx or JobNimbus?

No CRM or a spreadsheet? HighLevel becomes your estimate tracker, included. On ServiceTitan, Leap, Roofr, Jobber or Housecall Pro, we check API access and quote it before you pay.
