The Owned Roofing Office: the phone and follow-up system for roofing companies

We build it inside your own accounts and push it into the AccuLynx or JobNimbus you already pay for. It answers your phone when the office can't, and it follows up every estimate that didn't sign. You pay for the build once.

The two jobs it does

Job one: every call gets answered in your company's name. Business hours when Jen's on the other line, lunch, nights, Saturdays. The receptionist books the inspection on your calendar and texts you the details before you're off the roof. The lead's already in AccuLynx or JobNimbus when you get back to the office. Nobody typed it.

Job two: every estimate that doesn't sign gets followed up. Day 1, day 3, day 7, day 14, until the homeowner answers or the job moves. And this winter, last year's dead estimates get one more honest ask by email. That's money already sitting in your CRM.

What a Tuesday night looks like after the build

  1. A homeowner calls about hail damage. Jen went home at five.

  2. Answered on the second ring, in your company's name.

  3. Address checked against your service area. Out-of-area callers get a polite "we don't cover that area."

  4. Inspection booked: Thursday, 8:00 AM, on your calendar.

  5. Lead filed in your CRM with a summary of the call.

  6. Your phone buzzes: "New inspection booked. Thu 8:00 AM. Hail, 2-story."

  7. Your rep inspects. Estimate goes out at 4:30. Not signed.

  8. Follow-up #1 goes out. Then day 3, day 7, day 14. It stops the second they reply.

From our demo build. Your times, wording and service area will be yours.

Work order · What we guarantee · And what we don't

We guarantee the build. Here's exactly how.

1. Pass-or-Refund Checklist

"Before you pay, you get the checklist we'll hold ourselves to. If every line on it doesn't pass within 14 days of your kickoff, you pick: your money back, or we keep working free until it passes and add two months of Care free."

The 14 days start when kickoff is done and your accounts are set up. Texting approval, domain changes and Meta ad review run on other companies' clocks, so they're outside the 14 days.

2. Your Name On Everything

"Every account is in your company's name from day one. Phone number, voice account, CRM, workflows, the domain. If we ever part ways, you get every login and a written handover within five business days, and you keep all of it."

3. 90-Day Re-Train

"For 90 days after go-live, if the receptionist handles a call wrong, send it to Mary. We fix it within two business days, free, as many times as it takes."

What we won't guarantee

No leads, booked inspections, signed jobs or revenue numbers. Nobody honest can promise you jobs, because they don't answer your phone or run your crews. What we guarantee is the build. If every line doesn't pass within 14 days of kickoff, you get your money back. And everything's in your name either way.

What we can show you today

Straight up: we're new to selling this to roofers at this price. We don't have a wall of roofing testimonials, and we won't fake one. You can read the checklist we sign before you pay, see every price, and if you're one of the first five, your results go here with your name and your real numbers.

We're moving our demo receptionist onto the same voice platform we build for clients, so what you hear is what you'd get. The number goes up here the day it answers as Heartland Ridge Roofing. What you'll be able to try →

Questions roofing owners ask

I've been burned by marketing companies. Why is this any different?

Because we don't sell leads and we don't promise appointments. We build a system in your accounts and hand you a checklist before you pay. If every line doesn't pass within 14 days of kickoff, you get your money back. And if you never talk to us again after that, you still own all of it.

Roofr and Jobber sell an AI receptionist for $99 a month. Why would I pay you thousands?

If all you want is something to answer the phone, buy theirs. It's fine. What they don't do is the part after the call: pushing every lead into AccuLynx or JobNimbus, following up every unsigned estimate on day 1, 3, 7 and 14, working last year's dead estimates, asking for reviews, storm-week mode, and a monthly one-page report. And it all lives in their account. Ours lives in yours.

Won't homeowners hate talking to a robot?

Some will. That's why it's built from your own office's calls instead of a generic script, and why urgent calls go straight to your on-call number. It tells every caller up front that it's an AI assistant and that the call is recorded. During the day it can just catch the calls Jen can't get to, so she keeps the ones she's on. Our demo line opens soon, so you can judge it yourself.

Does it work with AccuLynx or JobNimbus?

Yes, both, and both are included in The Owned Roofing Office. New leads and booked inspections go in, estimate status comes back out so the follow-up knows who hasn't signed. We've built the AccuLynx push for a roofer before. On ServiceTitan, Leap, Roofr, Jobber or Housecall Pro, we check API access first and quote it before you pay.

Ten grand in November? Cash is tight until spring.

We hear that a lot from northern shops. You can split it into two payments, the second on day 21. Or use Reserve-a-Slot: $2,000 holds a dated kickoff (say, the first week of February for Texas) and the balance is due at kickoff. Either way, the Unsold Estimate Rescue goes after money that's already sitting in your CRM this winter. No financing, no credit checks.

Do you guarantee results?

No. Nobody honest can promise you jobs, because they don't answer your phone or run your crews. What I guarantee is the build. Here's the checklist. If every line doesn't pass within 14 days of kickoff, you get your money back. And everything's in your name either way.

Who are you, and what happens if you disappear?

Swift Response AI is Niko Capital LLC, a US company. Terry Niko runs it and takes the sales calls. Mary Grace Silva, our ops manager, is your day-to-day contact. If we vanished tomorrow, nothing breaks: the phone number, the voice account, HighLevel and the workflows are all in your company's name and on your card. You'd also get a written map of how it's wired.

My office manager will fight anything new.

Most do, until they see what it takes off their desk. She stops chasing estimates by hand and stops juggling a second line. Mary does a 30-minute handover with her, she gets a one-page cheat sheet, and she gets the alerts. She can keep answering every call she wants to.

What's it cost every month after?

About $200 a month in usage (HighLevel, your phone number and texts, voice minutes, the workflow account), paid straight to those companies in your name. Care is priced separately: $297, $497 or $997 every 4 weeks depending on the build. It's switched on by default when you sign, and you can strike it from the order form. If you keep it, the first cycle is free, there's a 3-paid-cycle minimum, and after that you cancel by email whenever you want.

How much of my time does this take?

A 20-minute kickoff call, plus setting up a few accounts in your company's name with your card (Mary walks you through it). Then about 15 minutes to hear the test calls and sign off on the checklist. That's it.

Why can't texting go live on day one?

Because the phone carriers have to approve business texting first. It's called A2P registration, and it takes anywhere from 3 business days to 3 weeks, sometimes longer. We submit it in the first hour. Voice and email go live five business days after kickoff. Texting gets built and tested, then switches on the day approval lands.

We don't record our calls. Can you still build it from "our calls"?

Yes. If you have recordings (CallRail and most phone systems keep them), we use 20 or more. If not, your office manager does five short role-play calls with Mary at kickoff: a new hail lead, an existing customer asking when the crew's coming, a price shopper, a Saturday call, a wrong number. That's enough to get your wording and your rules right.

Apply for a build slot

We take three roofing builds a month, so we ask a few questions first. It takes about 2 minutes. If it looks like a fit, you'll pick a time with Terry right after.

  1. Apply. About 2 minutes.
  2. Pick a time with Terry. 45 minutes on Zoom, in your time zone.
  3. Mary checks your phone line. A few calls at different times of day. You get the results on one page before the call, whether we work together or not.
  4. See it running, get a price, decide on the call. Yes is fine. No is fine.
